Societies & groups

You are the one collecting the money.

Golf trips are organised by one volunteer who is personally on the hook if it goes wrong. This page is written for that person.

Where the line sits

What we do, and what stays with you.

Being clear about this early prevents the two conversations that spoil trips: the one about who was supposed to book the buggies, and the one about who has the handicap certificates.

We handle

  • Hotel block and room allocation
  • Tee times across the courses you choose
  • Airport and course transfers
  • Buggies, caddies and club hire
  • One named contact for the whole trip

You handle

  • Collecting money from your members
  • Your competition format and prizes
  • Handicap certificates for your players
  • Passports, insurance and any visas
  • Telling us early when a name changes

Before you take deposits

Five things that decide whether the trip runs smoothly.

None of these appear on a price comparison. All five have ended a member's round on the morning it mattered.

01

Handicap limits are real, and they are enforced

Belek clubs set a maximum. Cullinan Links allows 36 for men and 44 for women. Elsewhere in Europe it can be tighter: Vilamoura in the Algarve caps at 28 and 36, and Valderrama in Spain at 24 and 32.

Run your roster against the limit while you are still collecting deposits, and bring the certificates. This is the most common reason a member is turned away at the first tee.

02

Buggy policy changes the per-head price

At Cullinan Links a shared buggy is included in the concept, with 150 on site. That is unusual. At Golf Costa Adeje in Tenerife a buggy is €42 a round on top of the green fee: twelve carts for a party of twenty-four, every day you play. At Royal County Down every group takes a caddie, which is a cost of a different kind.

We confirm the policy before you quote a figure to your members.

03

A tee block is not a shotgun start

A block puts your group out in consecutive slots: twenty-four players in six fourballs across roughly an hour. Everyone plays together in the sense that matters, but the last group tees off an hour after the first.

A shotgun start puts everyone out at once. Clubs offer it above a minimum group size and rarely at peak times. If your format depends on it, tell us at enquiry stage, not after the deposits are in.

04

Four consecutive mornings is one too many

It sounds good in February and feels different by day four. The shapes that work: 4 nights / 3 rounds with a rest day in the middle, 5 nights / 4 rounds, or 7 nights / 5 rounds with two.

We will suggest the rest day even though it means selling you one round fewer.

05

Group cancellation terms are not the same as individual ones

Clubs commonly tier their release windows by party size. At Monte Rei in Portugal, parties of four release fifteen days out, five to twenty-three release at thirty days, and twenty-four or more have no fixed free-cancellation right at all. Golf Costa Adeje in Tenerife gives a group of thirteen or more a 30-day window against 48 hours for a fourball.

Whatever the course, we put the actual dates in your quote so you know when your own money stops being refundable.

Running your competition

The golf is the easy part. The prize-giving is where it goes wrong.

A clubhouse dining room in Belek

CLUBHOUSE DINING: BOOK THE ROOM, NOT JUST THE TABLE

The one that catches groups out

At one of the Belek properties, the à la carte kitchens stop taking orders at 20:30. If your prize-giving overruns, and it will, the kitchen has closed and twenty-four people are looking for a buffet.

Book the room and the sitting together, and hold the presentation before dinner, not after it.

FormatStableford travels best for a group with a spread of handicaps: nobody walks in after a blob on the third. Texas scramble on the rest-day nine keeps the slower players in the game.
PracticeAn hour on the range the afternoon you land is worth more than a fourth round. Cullinan Links has a floodlit range and a golf academy.
WindAt Cullinan Links the prevailing wind is northerly in the morning, off the Taurus mountains, and southerly off the sea in the afternoon. If your competition runs across two tee blocks, the later groups are playing a different course.
PrizesThe pro shops carry the obvious things. Buying two of the prizes out there instead of carrying them in hand luggage is usually easier.

The more of this you can answer, the more useful the quote. If you do not know some of it yet, send it anyway. Most organisers do not.

Organiser questions

The ones we get asked most.

How far ahead should we book?

For April, May and October, the months every UK society wants, as early as you can. March and November are easier and noticeably cheaper. December and January are available at short notice, which tells you something.

Someone will drop out. What happens?

It happens on every trip. Two things decide the cost: how far out it is, and whether the name can be changed instead of cancelled. Tell us as soon as you know: a name change made early is usually straightforward, and the same change made late is not.

Your quote carries the actual dates and figures for both.

Can we all play together?

In consecutive tee slots, yes. For everyone to start at once you need a shotgun start, which depends on the club, the group size and the time of year. Ask at enquiry stage and we will tell you which of your chosen courses can do it.

Do we need handicap certificates?

At several courses, yes, and they are checked. Bring them. We will tell you which of your courses require them and what the limits are before you pay a deposit.

Is everything really included?

Belek all-inclusive is generous: buffets, snack restaurants, branded spirits, bar service at the pool and on the beach. But à la carte restaurants are usually charged and often carry a table fee, as is room service.

Your quote separates what is included from what your members will pay for on the spot, so nobody is surprised at the checkout desk.

Who do we call if something goes wrong out there?

One named contact for the whole trip, from the quote to the flight home. Not a call centre and not a different person each time.

Still deciding

Not ready for a quote? Ask us one question.

We answer organiser questions whether or not you book with us. If the honest answer is that Belek is the wrong destination for your group, we will say so.
